Engaging, well-run school tours

Give prospective families the organised first impression they expect. Parents book their tour time online, guides know who is arriving and when, and every visit is a chance to showcase your school at its best. Schoolea has run the bookings for hundreds of schools since 2013.

How it works

Step 1

Plan your tour program

Define your tour types, dates, group sizes, and which staff are guiding. Different routes for kindergarten families, middle school transfers, or international enquiries can run side by side in the same account.

Step 2

Families book and introduce themselves

Parents book online and answer the questions you care about, from year level to specific interests. You know who is coming, what they want to see, and how to personalise the visit.

Step 3

Run a memorable tour

Guides have their timetables and station assignments, numbers are known in advance, and every family arrives welcomed rather than unannounced.

Flexible tour options for any audience

Group tours for an open house, private tours for VIP visitors, small-group tours for transfers partway through the year. Every tour type can have its own dates, own guides, own registration questions, and its own cap on group size, all running side by side in the same account.

Prospective kindergarten families, middle school transfers, and international enquiries rarely have the same questions. Running them as separate tour events lets you shape the experience around what each family actually cares about.

Guides, stations, and a clear route

Assign each tour to its guides, define the stations they are covering, and give the whole team a timetable that shows who is doing what and where. The deputy principal running the hall demo knows when to expect the group, and the guide leading the tour knows where to head next.

If the route changes on the day, a broadcast message reaches every signed-up family in seconds and every guide on the roster alongside them.

Learn about families before they arrive

Custom registration forms let you ask the questions that matter to your conversation, such as year level, specific interests, special needs, or programmes they are weighing up. Guides arrive with that context in hand and can lead the tour to the parts of school the family is actually considering.

After the tour, the same family details make it easy to follow up with the right invitation to your next enrollment event without having to rekey anything.

Knowing in advance who is coming on the tour, and a little about which year level they are interested in, has changed how our enrolments team prepares for the morning. It feels less like an open day and more like a series of conversations we are ready for.

Email Reminders

Automatic confirmation and reminder emails go out to parents and staff the moment a booking is made, the day before the event, and on the morning of the event itself. The people who signed up actually show up, and they know exactly what to bring.

Fewer no-shows on the day

Timetables

Every staff member has a clear timetable that is ready to print, sync to their calendar, or pull up on their phone. Times, attendee names, notes, and meeting links are all on one screen, so nobody spends the night asking "who's next?".

Printable, syncable, mobile-ready

Customizable Forms

Custom registration, booking, and feedback forms collect exactly the information you need, whether that's dietary requirements, document uploads, or free-text reflections. Responses appear alongside the booking so staff never have to hunt for them.

Questions, uploads, and conditional logic

Staff Access

Every staff member has their own login with access scoped to their role. Teachers see their own bookings. Event managers run the event. Finance managers see the billing. Admins run the whole account. Nobody sees more than they need to.

Roles, permissions, and audit logs

Reporting

Export attendance, booking lists, name tags, room signage, and event posters in one click. Every event has printable assets ready to hand to the team that is running it.

Video Meetings

Online conferences run inside your event portal, so parents click their booking link and join a face-to-face meeting straight away without anything to download or any extra account to set up. Staff manage the conversation from the same timetable they use for in-person bookings, with the call window appearing alongside the schedule for the day.

No downloads, no third-party accounts

Statistics

Live dashboards show booking pace, utilisation, no-show rates, and feedback responses. At the end of the year, every event rolls up into a single insights report that pulls attendance, feedback trends, and growth across the whole calendar into one place, ready to hand to the board, PTA, or leadership team. Decisions for next year's event are made from the data, not the gut feel.
